What we do with your information.

This page describes what this website collects, why, and what you can ask us to do about it. It is written to be read rather than skimmed past.

The short version

This website sets no cookies and loads nothing from advertising or tracking networks. Fonts are served from our own domain rather than a third party. We count page views so we know which pages are useful, in a way that does not identify you and does not follow you anywhere else. Beyond that, the only information we hold is what you choose to send us — through the contact form or the assistant — plus the standard technical logs any web server keeps.

Who is responsible

EduGrade AI LTD is the data controller for the information described here. We are based in the United Kingdom, and the relevant law is the UK GDPR and the Data Protection Act 2018.

What we collect, and why

When you use the contact form

We collect your name, email address, organisation if you give one, and whatever you write about the process you would like to automate. If you are booking a discovery call, we also collect the date and time you say would suit you, and your browser's time zone — the time is sent to us both as you meant it and in UTC, so nobody has to guess which one they were given. The address of the page you sent the form from is included, so we know what you were reading when you got in touch. We use all of it to reply to you and to prepare for that conversation. It reaches our automation service, which passes it to us as an email.

Please keep the description general. We do not need customer records, personal data about your staff, or anything commercially sensitive in order to have a first conversation, and this form is not the place to send them.

When you use the assistant

The chat widget sends what you type to our automation service, along with a randomly generated session identifier so the conversation can follow you between pages. That identifier is not linked to you, is held only in your browser, and is discarded when you refresh or close the tab.

Your messages are processed by an AI model in order to generate a reply, and may be reviewed by us to understand what visitors ask and to improve the service. Treat it as a conversation with a company rather than a private notebook: do not put confidential information, personal data about other people, or anything you would not put in a first email into the chat. If you ask us to pass something to our team, the assistant will ask for your contact details first and tell you it is doing so.

When you simply visit

Our hosting provider records the usual technical information for every request — IP address, the page requested, the time, and your browser's user-agent string. This is used to serve the site, keep it available and investigate abuse or faults. We do not build profiles from it and it is not combined with anything else.

How we count page views

We use Umami, a privacy-focused analytics tool, to see which pages people read and which ones nobody does. It records the page address, the site that referred you if there was one, your approximate country, and rough device type — phone, tablet or desktop.

What it deliberately does not do matters more than what it does:

  • No cookies and nothing stored on your device. There is no identifier to place. That is why this site has no cookie banner.
  • Your IP address is not kept. It is used at the moment of the request to work out a country, and is discarded rather than stored.
  • No profile and no cross-site tracking. Visits are counted, not people. We cannot tell that the same person came back, and nothing is shared with an advertising network.
  • We honour Do Not Track. If your browser sends a Do Not Track or Global Privacy Control signal, the analytics script is never loaded at all.

The lawful basis is our legitimate interest in understanding whether this site is any use. Because nothing here identifies you, there is no individual record for us to show you or delete — but you can stop the counting entirely with the browser signal above.

Storage in your browser

The assistant keeps your conversation in your browser's session storage so it survives moving between pages. It is not a cookie, it is never sent to us as a header, and it is cleared when you refresh the page or close the tab. Nothing else is stored on your device.

Our lawful bases

  • Legitimate interests — replying to an enquiry you have sent us, keeping this site running, and keeping a record of who asked us what. You can object to this at any time.
  • Contract — where you become a client, to do the work we have agreed.
  • Legal obligation — where we have to keep records, for example for tax.

Who else sees it

We do not sell your information and we do not share it for anyone else's marketing. It is handled by a small number of providers acting on our instructions:

  • Our hosting provider, which serves this site and keeps the server logs described above
  • Our own automation service, which receives the contact form and the assistant's messages
  • Our email provider, through which enquiries reach us and we reply
  • The AI model provider used to generate the assistant's replies
  • Our analytics tool, which counts page views as described above

Some of these process data outside the UK. Where they do, the transfer is covered by the safeguards the UK GDPR requires, such as an adequacy decision or the International Data Transfer Agreement. We will name the current providers on request — just ask.

How long we keep it

  • Enquiries — for up to two years from our last contact, so we can pick up a conversation you started. Ask us and we will delete yours sooner.
  • Assistant conversations — retained for a short period for support and improvement, then deleted. The copy in your browser goes as soon as you refresh.
  • Server logs — a short rolling window, then overwritten.
  • Page-view counts — kept as aggregate figures. There is no personal data in them to expire, because none was collected.
  • Client records — for the duration of the engagement and for as long afterwards as our legal and tax obligations require.

Your rights

You can ask us to:

  • tell you what we hold about you, and give you a copy;
  • correct anything that is wrong;
  • delete it, where we have no continuing reason to keep it;
  • restrict or stop a particular use;
  • provide it in a portable format;
  • stop processing based on legitimate interests, by objecting.

Email info@aivomate.com and we will respond within one month. There is no charge. If you are not satisfied with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk, but we would rather you told us first so we can put it right.

Security

The site is served over HTTPS with a content security policy restricting where the page may send data. Access to enquiries is limited to the people who need it. No system is perfect, and we will tell you and the ICO if a breach affects you and the law requires it.

Automated decisions

Nothing on this website makes an automated decision that produces a legal or similarly significant effect about you. The assistant answers questions and passes enquiries on; it does not decide anything about you.

Children

This site is aimed at organisations and is not intended for children. We do not knowingly collect information about anyone under 13.

Changes

When this page changes, the date at the top changes with it. If a change materially affects people who have already contacted us, we will tell them directly.
