Accountants and tax advisers

AI automation for accountants and tax advisers.

Every period starts the same way: records requested, receipts arriving in whatever format the client sends them, and someone chasing what is still missing before anything can be reconciled. That is the administration we automate — not the accounting judgement around it.

A period-end today

Every step needs someone
  1. 1 Records requested by email at the start of each period
  2. 2 Receipts and statements arrive in different formats
  3. 3 Missing documents spotted and chased individually
  4. 4 Figures copied by hand into the practice’s systems
  5. 5 Invoices checked and reconciled manually
  6. 6 Client told the file is ready once everything is done

With Aivomate

People handle the exceptions
  1. 1 Records requested automatically at the start of each period
  2. 2 Documents read and the figures extracted, whatever format they arrive in
  3. 3 Missing items identified and requested straight away
  4. 4 Figures entered into the practice’s systems without retyping
  5. 5 Invoices matched and reconciled automatically
  6. 6 Client updated automatically as the file progresses

Where the time actually goes

Most of a routine period-end is not accounting, it is assembly: chasing records, reading receipts in whatever format they arrive, and getting figures into the right system before reconciliation can even start.

  • Client onboarding and document collection
  • Automatic reminders for outstanding records
  • Invoice and receipt processing
  • Missing-document identification
  • Routine client enquiries
  • Workflow and file-status updates

What stays with an accountant

Treatment, judgement and anything that determines what is claimed or how it is reported are not automated. Automation gets the figures assembled and reconciled correctly so your time goes on the decisions that need an accountant, not on typing.

Client records and your professional obligations

Client financial data carries the same duty of care as client money. Where it is stored, who can access it, how long it is retained and whether any AI provider trains on it are agreed in writing before build, and we will work through your practice’s own compliance questions directly rather than in general terms.

Why Aivomate

Why us rather than an automation freelancer or an AI agency.

A fair question, and one worth answering directly rather than leaving a buyer to assemble the comparison from four other pages.

Process first, technology second

We understand how the work actually happens before choosing anything to build it with. The tool is the last decision, not the first.

AI, automation and software together

We are not tied to one platform or one automation tool, so we are free to say when the right answer is a simple rule rather than a model.

Human-supervised by design

Consequential decisions stay with people. The workflow prepares the work and evidences it; a person approves what leaves the building.

Built around your existing systems

We integrate with what you already run rather than pushing you into replacing it. Replacement is a decision you make, not one we force.

From first conversation to working software

Discovery, prototype, build and improvement with one team, so nothing is lost in a handover between the people who understood it and the people building it.

You own what we build

Bespoke workflows and software are designed for your organisation. Where applicable, the result is yours rather than a licence you keep renting.

Common questions

Can AI chase clients for missing records?
Yes — politely and automatically, on the schedule you set. It only ever asks for what is genuinely still outstanding, and it does not touch what has already been provided.
Does this replace professional judgement on tax treatment?
No. It assembles and reconciles the figures. Treatment, judgement and anything that determines what is claimed or how it is reported stay with your accountants.
Will it work with the software we already use?
We integrate through the API of your practice management or bookkeeping software where one exists, so figures move in without anyone retyping them.
Is client financial data used to train AI models?
No. We use providers and settings under which your content is not used for training, confirmed in writing for the specific provider on the engagement.
How long does it take to automate something like receipt collection?
A single well-scoped process is often weeks from discovery to a working, validated automation. We will give you a realistic estimate once we understand the process.
